Privacy Notice

Effective date: 8 September 2025

This Privacy Notice explains how the European Bridge League (EBL) (“we,” “us,” “our”) processes personal data in connection with registrations and participation in our bridge events and related services.

1) Controller and contacts

Controller: European Bridge League — Maison du Sport International, 54 av. de Rhodanie, 1007 Lausanne, Switzerland

Email: secretary@eurobridge.org

2) What we collect

We process identification and contact details (e.g., name, email, phone), demographic details (e.g., date of birth, nationality, gender), event credentials and results, communications you exchange with us, and payment/billing data where applicable. Technical data may be collected when you use our online services (e.g., device, browser, logs) for security and service reliability.

3) How we obtain data
  • Directly from you when you register or contact us.
  • From your team captain/manager if they register you on your behalf. When this happens, we inform you at first contact and provide this Notice.
  • From service providers and event systems (e.g., payment, registration platforms) where necessary to operate the event.
4) Purposes and legal bases

We rely on one or more of the following legal bases under the GDPR/UK GDPR and Swiss nFADP:

  • Event registration and operations (including rosters, schedules, updates/changes, emergency communications, accreditation, results, dispute handling, and general administration). Legal bases: performance of a contract with you (Art. 6(1)(b)), and/or our legitimate interests in running events efficiently and safely (Art. 6(1)(f)).
  • Payments, invoicing and compliance with legal obligations (tax and accounting rules, record-keeping, fraud prevention, safety and integrity of competitions). Legal bases: contract (Art. 6(1)(b)) and legal obligation (Art. 6(1)(c)).
  • Customer support and correspondence (answering queries, troubleshooting, service notices). Legal bases: contract and/or legitimate interests (service continuity).
  • Marketing communications by email (and, if selected, SMS/phone) about our events and services. Legal basis: consent (Art. 6(1)(a)). Consent is optional, separate from participation, and can be withdrawn at any time via the links provided.
  • Analytics, service improvement and security monitoring (e.g., performance metrics, detecting abuse). Legal basis: legitimate interests in maintaining and improving our services.

Where local e-privacy rules require prior consent for electronic marketing, we will only send such messages after you opt in. Where permitted, if you purchase our services we may email you about similar events and you can object at collection and in every message.

5) If a captain registers you

If a team captain provides your details, we will contact you at first opportunity to share this Notice and explain how to manage your preferences. Operational messages about the event do not require consent. Marketing is sent only if you, personally, provide separate consent. A captain cannot consent on your behalf.

6) Recipients and international transfers

We share data, on a need-to-know basis, with:

  • Service providers acting on our instructions (e.g., registration platform, email service, payment processors, accreditation/badging, IT hosting).
  • Event partners where necessary for event delivery (e.g., venues, national or international bridge organizations, tournament directors, disciplinary bodies), and only for compatible purposes.
  • Authorities where required by law or to protect rights and safety.

Data may be processed outside your country. Where data are transferred from the EEA/UK to countries without an adequacy decision, we use appropriate safeguards (e.g., EU/UK Standard Contractual Clauses). The Swiss legal framework is recognized by the EU via an adequacy decision; EU↔CH transfers may occur on that basis.

7) Retention
  • Event operations: for the event lifecycle and reasonable post-event administration (e.g., disputes).
  • Results/records of play: may be retained longer for sporting records, statistics, and historical archiving in the public interest where applicable.
  • Financial records: retained for the periods required by tax and accounting laws.
  • Marketing: until you withdraw consent.

When retention expires, data are securely deleted or anonymized.

8) Your rights

Subject to applicable law, you have the right to access, rectify, erase, restrict processing, object (including to processing based on legitimate interests), and data portability. Where we rely on consent, you may withdraw it at any time; this does not affect prior processing. You also have the right to lodge a complaint with your local supervisory authority (EEA/UK) or the Swiss Federal Data Protection and Information Commissioner (FDPIC).

To exercise your rights, contact us at secretary@eurobridge.org. We may need to verify your identity.

9) Children and youth players

Where local law requires parental permission, registrations for minors must be submitted or approved by a parent/legal guardian.

10) Automated decisions

We do not use automated decision-making that produces legal or similarly significant effects on you.

11) Keeping this Notice up to date

We may update this Notice from time to time. Material changes will be communicated where appropriate. The current version is always available at http://championships.eurobridge.org/Registration/PrivacyNotice.html.
